Ensure that payment is made in euro and arrives at our bank in euro. It is imperative that all bank charges are covered, otherwise your delegate registration(s) will not be processed.
Participants who register online and pay by bank transfer will receive a proforma invoice (invoice to pay) as part of an email confirmation containing a full set of completed delegate registration forms.
Please supply your bank with your Delegate Reference Number (found at the top of your proforma invoice and in the subject header of your confirmation email), company details, number of delegates and registration type, as a description of what the payment is for: (for example, ED/213, Company Name, City, 2 x 3- day registrations + 1 x Young Creative registration).
Once the transfer has been made, please send proof of payment/bank transfer confirmation, quoting your Delegate Reference Number, to the Eurobest Delegate Department at delegates@eurobest.com or by fax to +44 (0)207 728 4044.
Please ensure you complete your invoice information where requested if it is different from the contact company information.
Also ensure that you provide the correct invoice details as we cannot reissue invoices.
Registration fees will be refunded if written notice of a cancellation is received at the Festival office in London by 16 November 2010. The refund deadline also applies to downgrades and credit for Eurobest 2011.
Delegate registration cancellations will result in the automatic cancellation of hotel reservations.
Any requests to amend a delegate registration must be received in writing.
In Hamburg, a replacement can be made by completing a replacement form that must be accompanied by a letter from the contact company or authorised by a senior member of staff.
Badges must be worn at all times in the Handelskammer and are valid for the registered delegate only. Any misuse of badges will result in denied access to the Festival.
Please note that lost or stolen badges will not be replaced.
- The Festival organisers will reserve accommodation and offer reduced rates for the hotels listed in the Accommodation Guide.
- Reservations will only be made upon receipt of registration fees.
- If two delegates intend to share a room, please specify this when registering.
- As soon as you receive your confirmation from the Festival office, a one-night deposit is due to the hotel.
- Reservations will not be considered confirmed until the deposit is paid.
- Unpaid deposits will result in your reservation being cancelled.
- Hotels reserve the right to keep your deposit if they are notified of a cancellation after 29 November 2010.
- No-shows may be charged for the full stay.
- Should you reduce the number of nights booked after 29 November 2010, hotels reserve the right to charge for the total number of nights originally confirmed.
- Festival registration cancellations will result in the automatic cancellation of corresponding hotel reservations.
- We strongly recommend that you register as soon as possible to increase your chance of getting your hotel preference.
What is MwSt.?
Germany’s equivalent of VAT is
Mehrwertsteuer, which is abbreviated to MwSt. and is charged at 19% on all registrations. However, this can be reclaimed in most
instances as described below.
How to reclaim MwSt.
The
IAF cannot assist companies who wish to reclaim MwSt. However, agents
such as Tevea International (www.tevea-international.com) may be used.
There are conditions for recovering MwSt. and companies may not be able
to recover MwSt. in all circumstances (e.g. if the MwSt. was not a
business expense or paid for by a business).
Please
note that companies MUST have the original PAID invoice from the IAF to
reclaim MwSt and that the tax must be reclaimed via a company.
Therefore, care must be taken of the original invoice, as these cannot
be re-issued and copy invoices will not qualify for MwSt. reclaim.
Why can't the IAF refund the MwSt.?
The
IAF must pay MwSt. in full to the German administration immediately
upon receipt of delegate registration payments. Therefore, if
registrations are withdrawn (by the specified date), the IAF will only
issue a credit note for the net amount as the original invoice will be
used by companies to reclaim the MwSt. from the German government using
the procedure described above.
