    A. PRODUCT & SERVICE
    The Product & Service categories below are intended for content which is designed for transmission and first aired on television or cinema. The maximum length of a film entry in these categories is 180 seconds.  Should your advert be over the 180 second mark, we will require a media schedule to prove the legitimacy of the advert.  You are only allowed to enter each film in 1 Product & Service category.

    B. OTHER FILM CONTENT
    These categories are intended to highlight how film content is no longer limited to TV and cinema screens with traditional boundaries no longer what they were. Indeed, screens are becoming a cross channel platform in their own right.

    Therefore, the categories below are intended for film content which is created for transmission on screens other than TV or cinema (an exception to this is branded content featured in B02). It is understood that there will be occasions when films intended for the internet, mobile or other screens are eventually shown on TV.

    For B01.-B02. entries, there is no time limit. However, any submissions longer than 3 minutes must be submitted in their entirety as well as an excerpt/edit that is under 3 minutes.

    For B03. Interactive Film entries must be submitted as a demo presentation lasting no more than 3 minutes.  It should be clearly demonstrated how the viewer was able to interact with the medium.

    B01. INTERNET FILM
    Original films created for the internet.
    (Note, the first transmission of these entries must have been on the internet, as this category excludes films that were originally created for TV or cinema transmission and which have subsequently been posted on the internet.  Such films should be entered in the Product & Service categories above)

    B02. OTHER SCREENS
    Original film content created for any other screens. Eg. Digital outdoor solutions, mobile phones, branded content on TV and cinema showcasing its brands (programming which gives the client the majority of content ownership).

    B03. INTERACTIVE FILM
    Advertisements which use interactive screens for any product or service.  Entries in this category must be submitted as a demo presentation lasting no more than 3 minutes.  It should be clearly demonstrated how the viewer was able to interact with the medium.  Additionally, you should supply a written description of the interactive steps contained in the film in no more than 500 words in the synopsis field when submitting your entry online.

  • 2. Eligibility

    1. The competition is open to all those involved in advertising and communication - Advertising Agencies, Production Companies, Clients, etc.

    2. All entries submitted must be designed for implementation and must have been implemented for the first time between 1 September 2011 and 31 October 2012. Entries will be accepted on the basis that they are designed to run in Europe or are created by European agencies/companies. Work can be entered by agencies outside Europe if it was created for and implemented in Europe. Likewise, work that has run outside Europe may be entered as long as it has been created by European agencies. Entries cannot be cancelled or removed from the Festival after the 31 October 2012. In the event that additional information regarding results and the outcome of the campaign becomes available after you have submitted your entry, the Festival organisers will accept updated and additional information relating to the results section only up to 31 October 2012.

    3. The Organisers will endeavour to move entries to more appropriate categories if necessary. However, the Jury will not be allowed to move entries between categories during the judging.

    4. All entry forms must be completed online at www.eurobest.com, including an entries payment page and entry form.

    5. An entry sent online will not be considered complete until the corresponding material arrives at the Festival office.

    6.  All entries must be designed for screening, transmission or publication.

    7. All entries must have been made within the context of a normal paying contract with a client, except in the charities and public services categories. That Client must have paid for all, or the majority of the media costs.

    8. All entries must have been produced with the full knowledge of the trademark/copyright owner of the product or brand advertised.

    9. Entries cannot be submitted without the prior permission of the client/owner of the rights of the advertisement.

    10. The Festival Organisers may contact the client related to any entry at the request of the jury at any time during the voting process should any questions about the implementation or presentation of the work arise.

    11. Only one party may enter an advertisement, i.e. Agency or Production Company, to be agreed in advance between the parties concerned. In the event that the same advert is submitted by two different entrant companies, only the first entry will be accepted. If different parts of the same campaign are submitted by both the production company and the advertising agency, the first company to enter will have the choice if they would like to submit the whole campaign as the entrant.

    12. Entries, which up to and including the final date of judging have infringed any of its country of origin's voluntary or regulatory codes of practice are not eligible. It is the responsibility of the entrant to withdraw their work should an infringement arise prior to the judging.

    13. The organizers may refuse entries, which offend national or religious sentiments or public taste.

  • 3. Enforcement Of The Rules

    1. All entries must be submitted for judging exactly as published, aired or implemented and may not be modified for awards entry. However, entries that are not originally in English may be translated as long as the presentation is exactly the same as the original version.

    2. Directors cuts, spec ads and conceptual advertising are not eligible.

    3. The Festival reserves the right to request a full media schedule from each entrant company to verify the authenticity of the ad(s) in the event that entry is shortlisted or a winner.

    4. The Festival requests full client contact details and reserves the right to contact the client directly at any time to clarify or confirm any information relating to the entry.

    5. In the event of a complaint against any winning or shortlisted entry, the Festival Organisers will conduct a full investigation into each case and will request detailed documentation from all parties concerned including the complainant, the entrants and the client.

    6. The Festival Organisers will have no hesitation in withdrawing an award in cases where the complaint is upheld.

    7. Entrants or companies who are proved to have deliberately and knowingly contravened any rules relating to eligibility may be barred from entering the awards for a period of time following the Festival as specified by the Organisers.

  • 4. Judging

    1. The Jury will meet in Lisbon in November to vote on the entries and select finalists and winners

    2. At all voting stages, the judges are prevented from voting for entries submitted by their own agency in their country.

    3. The decision of the Jury in all matters relating to the awarding of prizes will be final and binding.

  • 5. Awards

    The Awards given are as follows:

    A Grand Prix must be awarded. Entries in the charities and public services categories and those with a charitable or public service message are excluded from winning the Film Grand Prix.

    The Juries will award Gold, Silver and Bronze in each category to entries judged to be deserving of this honour. All awards will be given to the entrant companies. Duplicate trophies can be purchased by other participating parties after the Festival.

    Shortlisted entries will receive a certificate.

    Special Awards:
    The Network of the Year Award is given to the agency network that obtains the highest score for entries in the Film, Film Craft, Print, Outdoor, Print & Poster Craft, Radio, Media, Interactive, Mobile, Direct, Promo and Activation, Design, PR, Integrated and Branded Content & Entertainment sections. To form part of the network for consideration in the calculation, the company concerned must be wholly or majority owned by the network or be associated with a network group through naming and/or branding.

    The Agency of the Year Award is given to the agency that obtains the highest score for entries in the Print, Outdoor, Print & Poster Craft, Film, Film Craft and Radio sections, irrespective of whether these have been entered by the agency or another party. To be eligible for this award, an agency must have entries in two of these six sections (e.g. Film and Radio)

  • 6. Entry Deadline: Extended to 5 October

    All entry forms and payment must be received in the Eurobest Office in London or through our website www.eurobest.com, no later than this date.

     

  • 7. Entry Requirements

    1. Each advertisement constitutes one entry.

    2. Ads which form a campaign must be entered and paid for as single entries - e.g. three ads which form a campaign must be paid for as three separate entries and will be judged individually. Entries submitted as part of a campaign cannot be entered again as a single entry and vice versa.

    3. "Teasers", where each execution taken individually is meaningless and, probably, where the name of the product/brand appears only once in the series, are considered one entry.  Please contact our entries team at film@eurobest.com for confirmation that your TVC is a teaser.

    4. Trailers comprising direct cuts from feature films or TV programmes cannot be accepted.

    5. Film entries may be entered in only one Product & Service category (Section A.) OR one Other Film Content category (Section B).  

    Please carefully check and re-check the credits you have entered. If you are shortlisted or a winner, these credits will be published on our website exactly as you have typed them here. Any amendments or additions to credits made after 31 October 2012 will incur costs.

  • 8. Material Requirements

    No agency branding or any contributing creative companies/people must be visible on the entry (eg. Logos, credits etc.) except for self-promotional entries (e.g. Director’s reel)

    All A. Product and Service entries must be no more than 3 minutes long and designed to air on TV or at the cinema.  Should your advert be over the 3 minute mark, we will require a media schedule to prove the legitimacy of the advert.

    For B01.-B02. entries, there is no time limit however any submissions longer than 3 minutes must be submitted in their entirety as well as an excerpt/edit that is 3 minutes or less.  

    All B03. Interactive Film entries must be submitted as a demo presentation lasting no more than 3 minutes.  It should be clearly demonstrated how the viewer was able to interact with the medium.

    You should upload your films when you submit your entry using the online upload facility.  

    Please indicate when you send your submission if there are reasons, such as music licensing, that mean your Case Film cannot be shown publically after the Festival.

    Please note the maximum file size is 240MB.

    •  You must submit an mpeg2 OR H264 QuickTime file for each film you are entering into the Festival. See the File Option/Specifications chart below for further information.
    • You are strongly advised to dub or subtitle entries in English so that they can be more easily understood by the jury and participants.

    • No slates, clocks or freezes can be included in your encode.
    • All files must have ½ second black before and after the entry. 
    • You must not refer to the name of your agency or any contributing creative companies (ie. logos, credits etc.) in the advert.
  • 9. Fees

    The entry fee of €299.00 is applicable on EACH Film entry.
    There is a registration fee of €249, to be paid once.
    For UK participants only, VAT (at 20%) must be added.
    All EU member countries MUST supply their VAT registration number.

    Preferred method of payment is by Bank Transfer. This incurs a €10 charge, bank details as follows;

    It is imperative that you cover ALL Bank charges; otherwise your entries may be refused. Please ensure that payment is made in EUROS and arrives at our bank in EUROS.

    Participants who pay by bank transfer will receive a proforma invoice (invoice to pay) as part of an email confirmation containing a full set of completed entry forms.

    Entries cannot be cancelled or removed from the Festival in any way AFTER 31 October 2012.

  • 10. Refunds
    • There will be no refunds for withdrawals by entrants after the official entries deadline of September 21st 2012, regardless of any extension.
    • Entrant requests for withdrawals of entries AFTER September 21st 2012 will not be eligible for a refund or credit for towards future Eurobest festivals, but are entitled to submit a replacement entry (up to the closing date of submissions).
    • In addition to the above, if the festival notifies you at any point that your entry is not eligible and has been withdrawn from judging, you will be entitled to the following (if the entry has been paid for):

      Entitled to submit a replacement entry (up to the closing date of submissions)
      Be issued a refund
      Use the credit towards future Eurobest festivals

    • If an entry is submitted in replacement of a cancelled entry that has already been paid for, the funds will be transferred whenever possible.
    • All invoicing will be conducted post festival, at which time credit notes will be issued for any entries eligible for refunds/credit for future festivals.
    • Refunds can only be requested after a credit note has been issued. This credit note entitles you to a refund, or use of the funds towards future Eurobest festivals.
    • To request a refund you must send the following to the Eurobest finance team at payments@eurobest.com
      1. A copy of this credit note
      2. Proof of the original payment (for the sale(s) referenced on the credit note) e.g. Bank Transfer confirmation or Credit Card confirmation
      3. Your bank details issued on company headed paper (if eligible to be refunded via this means) and should detail the following:

      Account Number
      Bank Name
      Bank Address
      Sort Code (if applicable)
      BIC/SWIFT (if applicable)
      IBAN

    • We cannot proceed with the refund without all the above items.
    • If using this credit for future Eurobest festivals, please provide a copy of this credit note, along with your future festival submission details (i.e. EI/100) to payments@eurobest.com. The credit will be offset against any future balance outstanding for payment.
    • Refunds or credit for a future festival are only allowed to the company as specified on the credit note.  It cannot be transferred to another company.



        
      

  • 11. Treatment And Publication Of Entries

    1. Any material submitted in the course of entering the awards becomes the property of the Organisers and cannot be returned.

    2. Entrants may be required to supply additional material of any shortlisted or winning work for any promotional publication and exhibitions held after the Festival.

    3. In order to promote the Festival, each entrant authorises the Festival Organisers to screen or publish his ads with or without charge at public or private presentations, wherever and as often as the Organisers think fit.

    4. In addition, each entrant undertakes to allow the lending or selling by the Festival Organisers of the entries to any interested public or private organisation with a view to promoting the Advertising Festival either directly or indirectly.

    5. Any entry may be compiled by the Festival Organisers into a collection of entries. Such a collection may not, nor may any extracts of it, be copied, marketed or sold by any organisation other than the Festival Organisation or any organisation authorised to do so by the Festival Organisation. Each entrant agrees to assist the Festival Organisers in supporting any legal action that may be taken to prevent a breach of this condition and to supply information to the Organisers immediately should they become aware that an unauthorised collection or compilation is available for sale or distribution.

    6. Each entrant agrees to hold the Festival Organisers harmless of any claims that may be made against them by reason of any such screenings or publishing. Winners have the right to use any award given to them for promotional purposes on condition that this is correctly described.

    7. All entrants must accept that their entries may be used in the Eurobest Archive.

    8. Each entrant confirms to the Organisers that they have the legal right to enter the Festival on the terms of these Entry Rules. Each entrant indemnifies the Organisers against all liability to any other person, firm or company and all loss arising from a breach by the entrant of any of these rules.

  • 12. Miscellaneous

    1. Each entrant accepts full responsibility for the quality of entries and discharges the Festival Organisers from any responsibility in respect of third parties.

    2. All entrants will strictly observe the Entry Rules. Completion and signature/sending of the Entries Payment Form will imply full acceptance by each entrant of the Festival Rules. Non-compliance with any of the Entry Rules will result in automatic disqualification of the entry.

    3. The decisions of the Festival Organisers in all matters relating to the Advertising Festival shall be final and binding.

    4. In the event of a win, any duties, fees and charges accrued from the transporting of the trophy, will be covered by the recipient, not Eurobest.
