How can I receive more information throughout the year?
When will I receive my confirmation?
In order for your registration to be processed, it is essential that you have paid your registration fee in full (including bank charges if you pay by bank transfer). If you pay by bank transfer, please fax your bank transfer confirmation, including the Delegate Reference Number (found in the subject header of your confirmation email), to the following number: +44 (0) 207 728 4044. Once we have processed your registration, we will send your registration confirmation letter which will include your accommodation details if applicable.

Is there a registration deadline?
No. Once registration is open, delegates can register up to and throughout the Festival. However, there is a cancellation/refund deadline of 10 November 2008.

What do I do if I require a visa?
Visas are generally required in order to gain entry into Sweden. Please check with the Swedish Embassy in your country if you are unsure whether a visa is necessary. If you do require a visa, please contact the Delegate Department at + 44 (0) 207 728 4034 or delegates@eurobest.com so we can send you a visa letter. Please provide us with your full name, passport number, nationality, date and place of birth, date of issue and expiry of your passport and place of issue.

What is the difference between the Young Creatives Package and the Future Leaders Competition?
If you register as a Young Creative with the Young Creatives Package, you are NOT automatically taking part in the Future Leaders Competition. Competition teams are pre-selected in their respective countries and confirmed by the Festival organisers.

What is the age limit to be able to register as a Young Creative?
You must be born after 3rd December 1979 and send proof of your birthday. e.g. a copy of your passport or driver's licence.

Do I need to fax/send a copy of my passport/driver’s license as proof of age?
When registering, you will be able to upload your ID. This is the quickest and most convenient way of sending us your ID.
If it is not possible for you to upload your ID at the time of registering, then you can fax your ID to +44 (0) 207 728 4044 or email it to delegates@eurobest.com. However, we strongly recommend that you upload your ID at the time of registering.

Can I use my password from the previous year?
No. You will need to sign up for a new password via the login page which will be sent to you by email.

Please contact us and provide the email address you used to get a password and we will resend it to you.

Is it possible to register more than one delegate before paying or must I pay for each delegate at the time?
You can register several delegates before submitting to pay and do not have to pay for all registrations at the same time.

What is the difference between contact details and delegate details?
The contact details are the details of the person to whom all registration and payment enquiries and confirmations should be sent. The delegate details are those of the person to be registered for the Festival. This person will not be contacted under any circumstances.

I keep receiving email reminders, what do they mean?
You have started but not completed a delegate registration. The reminder is sent automatically. If you would like to stop the reminders, please go back into the online registration you started and either submit the registration or delete the registration(s) in the summary page.

Is there a cancellation/refund deadline?
You can cancel at any time. However, if you wish to be issued a refund, you must fax or email the completed cancellation form to +44 (0) 207 728 4044 or delegates@eurobest.com by 10 November 2008. The delegate’s contact is responsible to ensure the receipt of the completed cancellation form. For further information, please see cancellation form. Please note refunds will not be processed until after the Festival.

Is there an alternative if I miss the cancellation deadline?
Yes. We are always happy to replace a cancelled delegate at any time. Please notify us of the change in writing at delegates@eurobest.com. In Stockholm, a replacement can be made by completing a replacement form which must be accompanied by a letter from the contact company or authorised by a senior member of staff.

Do I have to pay a cancellation fee?
No. However, all refunds exclude SKV Tax (SKV at 25%). Please note this tax is reclaimable. For further information, visit our SKV section.

Is accommodation included in the registration fee?
No. The registration fee is for your delegate registration only.

What happens if the hotel I request is not available?
We ask that you provide four different choices. If these are not available, we will contact you to offer some alternatives.

When will I get confirmation of my accommodation?
Once your delegate registration payment is confirmed in our system, we will send you a registration and accommodation confirmation letter. Included in the confirmation are hotel deposit and contact details.

How and to whom do we pay the deposit?
Deposits must be paid directly to the hotel. Their bank details and accepted methods of payment are included in your delegate confirmation letter. If they are not, please contact the hotel directly for payment information. Please note that your booking is not guaranteed until you pay your deposit to the hotel.

What do I do if I wish to amend my booking?
All requests to amend a hotel booking must be made in writing to the London office. Each change is subject to hotel availability.

When will I receive my invoice?
Invoices are sent by post once delegate registration payments have been processed. Invoices will be issued in the name of the invoicing company provided in order to claim back SKV (SKV at 25%). For further information see our SKV section.

It is advisable to contact your card issuing bank to authorise them to release the appropriate funds. Another alternative is a payment by bank transfer. Please do not forget to fill in the correct invoice details before submitting your registration. Once you have transferred the correct amount including bank charges, please fax the bank transfer confirmation, including the Delegate Reference Number (found in the subject header of your confirmation email), to the following number: + 44 (0) 207 728 4044.

What is my Delegate Reference Number?
Your Delegate Reference Number (ED) can be found at the top of your proforma invoice that is sent by email when ‘bank transfer’ is selected as the preferred method of payment. It can also be found in the subject header of your confirmation email.

Do we all have to pay the Swedish VAT?
Across the EU, trade fairs are regarded as cultural services and, as stipulated in the EU VAT Directive, are taxable in the country where they are supplied. The Eurobest Festival is held in Sweden, and therefore Swedish VAT must be charged on participation fees and sponsorship packages that include right to attend the festival.
Sweden has a reverse charge regulation, applicable to foreign companies that supply goods and services in Swedish territory. However, reverse tax liability does not apply to the sale of cultural services (and this definition includes trade fair services). This exemption from reverse liability also applies to organisers of such activities or of other activities connected to such.
Therefore, all clients who purchase trade fair services different from pure advertising (or other services listed in Article 56, 1 (a) of Council Directive 2006/112/EC) in connection with the Eurobest Festival, must pay Swedish VAT.

What is Swedish VAT?
There are three VAT rates in Sweden – a standard rate of 25%, which is applicable to goods and services not qualifying for any reduced rate or exemption; 12% - for food and hotel accommodation, and 6% for newspapers, passenger transport, admission fees for cultural services (but not trade fairs). This list is not exhaustive.

Why do we need to pay Swedish VAT?
Because according to the Swedish VAT legislation, the trade fair services attract Swedish VAT therefore Swedish VAT is payable by all consumers for those services.

How to reclaim Swedish VAT?
You will have to go through a third party tax consultant, such as Tax Back International. In order to qualify for VAT refund, an enterprise must be VAT registered (in its home country or else). Terms and conditions apply of course, e.g. possession of original invoices.

Why can't Eurobest Awards Ltd refund the Swedish VAT?
Eurobest Awards Ltd acts only as an intermediary for the Swedish tax authorities in collecting VAT from the consumers of the service. Eurobest Awards Ltd collects this VAT and transfers it to the Swedish tax authorities, therefore, requests for a refund of VAT should be presented before the Swedish Tax Authorities, and not to Eurobest Awards Ltd.
